Policies and Procedures

Cancellation & No-Show Policy

• Appointments held no longer than 2 consecutive weeks.
• 24-hour notice required for cancellations. $50 fee for late/no-show.
• Monday cancellations must be received by Friday.
• Missed sessions should be rescheduled within the same week.
• After 3 no-shows or late cancellations, appointments may be released.

Three-Chance Attendance Policy

• Up to 3 missed appointments allowed in 6 months.
• Intensive programs require 90% attendance.
• A ‘missed chance’ is a session not made up within 2 weeks.
• 1st: Recorded; 2nd: Notice sent; 3rd: Moved to flexible schedule.
• Reinstatement reviews occur Jan 1 and Jul 1.

Session Length Policy

• 30 min session = 25 min treatment + 5 min transition
• 45 min session = 40 min treatment + 5 min transition
• 60 min session = 55 min treatment + 5 min transition

Example: An 8:00 AM 60-min session ends direct treatment at 8:55 AM.

Additional Meeting Policy

• Meetings >10 minutes outside therapy are billed at the hourly rate.
• These charges are not covered by insurance.
• 3 weeks’ advance notice required to coordinate.

Pet Safety Policy (For Home Visits)

• All pets must be secured away from the therapy space before arrival.
• Ensures a safe, distraction-free environment.

Respect & Behavior Policy

• Zero tolerance for aggressive/disrespectful behavior.
• Prohibited: Yelling, threats, profanity, intimidation, weapon references.
• Consequences: Session termination, alternate caregiver required, discharge.
